Tava Guide supports two ways to browse and schedule with providers depending on the flow of the conversation:
- Add member details first, then search for providers before scheduling.
- Use the dedicated Providers tab to browse and filter providers first, then add the member.
How to schedule a member
Option 1: Add the member first, then search for providers
Use this workflow if you already have the member’s information, you want to build the member record before searching, or your workflow is centered on one specific member.
- Open Tava Guide and select the members tab from the left navigation menu.
- Search for an existing member, or click “Add Member” to create a new one.
- Enter the member details.
- Search for providers that match the member’s needs.
- Review provider options and availability.
- Choose the provider and appointment time.
- Review the booking details and confirm the appointment.
Option 2: Browse providers first, then add the member
Start with the Providers tab if you are helping a member live on the phone, you want to talk through provider fit or availability first, or you want to keep the conversation moving before collecting member details. Use this workflow to book against live calendars, even before the member has created an account or completed intake.
- Open Tava Guide and go to the Providers tab.
- Enter the member’s state and insurance plan.
- Browse or filter providers until you find a good fit.
- Select the provider and click Schedule to view the provider's bio and availability.
- Choose the appointment time slot you want to book.
- After you choose the slot, add the member details including name, email, birth date, and coverage.
- Review the booking details and confirm the appointment.
