Tava Guide lets care navigators select one or more providers and send those options to a member by email, along with an optional note.
Use provider sharing when:
- The member wants to review options before booking
- You want to send a few recommended providers after a call
- You are coordinating next steps but they are not ready to schedule yet
How to share providers
- Open Tava Guide and go to the Providers tab.
- Enter the member’s state and insurance plan.
- Browse or filter providers until you find a good fit.
- Select the checkbox on one or more providers you want to share with the member.
- Select Share.
- Add the member’s name, email, date of birth and coverage details.
- Enter an optional note to send in the email.
- Click Share.
The member will receive an email with a link to all of the selected providers. If the member schedules with one of these providers on their own, they will be automatically associated back to your organization. If you need the member to book with you in real time, use the scheduling flow instead.
What to include in your note
Keep the note short, clear, and action-oriented. The goal is to help the member understand why they are receiving these options and what to do next. Try to include:
- A reminder that you selected these providers based on the member’s needs or preferences.
- A clear next step, such as reviewing the options and choosing a provider.
- A callback number to contact you if they want help scheduling.
- A gentle reminder to review and schedule as soon as they can.
Example note:
Hi [Member First Name],
I selected these providers for you based on your personal preferences. You can review the options and schedule directly at your earliest convenience. If you need help, don’t hesitate to call us at 123-456-7890.
